Importing Your Contacts to PatientBase
Importing your contacts seamlessly to PatientBase is an essential step in leveraging the full potential of our platform. This guide will walk you through the process of importing contacts to PatientBase from another system so that you can organize them into the right lists and kickstart your email marketing campaigns.
Step 1: Preparing Your CSV File
Before importing your contacts to PatientBase, prepare a CSV file containing all the necessary information such as names, emails, and tags. This file can contain other custom fields as long as they are configured in your site system. You can create and manage this file using tools like Google Sheets or Microsoft Excel.
Formatting Tips:
- Ensure to have columns for name and email as the minimum requirement.
- You can include additional fields and custom tags as necessary.
- If you wish to add multiple tags to a contact, separate them with commas in the respective cell in the CSV file.
Step 2: Initiating the Import Process
Once your CSV file is ready and saved:
- Log into your PatientBase account.
- Navigate to the "Contacts" section.
- Click on "More" followed by the "Import" option.
Step 3: Importing the CSV File
In this step, you’ll upload your prepared CSV file and match the columns to the respective properties in PatientBase. Here’s how:
- Confirm that all the contacts in the file are yours and comply with legal requirements.
- Select and upload your CSV file.
- Match the columns from your file to the respective fields in PatientBase. Skip any columns that are not necessary.
- If you have tags included in your file, match the tags column as well.
Step 4: Finalizing the Import
After uploading the file:
- Click "Next" to initiate the import.
- You will receive an email notification once the import is complete, depending on the number of contacts.
- After the import, review the contacts to ensure that the data looks good and make any necessary adjustments.
Step 5: Managing Your Contacts
Post-import, you can organize and segment your contacts further:
- Filter your contacts by tags to categorize them effectively.
- Add contacts to specific lists for streamlined marketing efforts.
- Navigate to the marketing section to manage your subscribers and create more filters or segments as needed.
Note: Subscribers refer to individuals who have opted to receive your newsletters, while contacts can encompass anyone within your system, not necessarily someone you are marketing to.
Additional Tips:
- You can directly add contacts to a list from the "Subscribers" section in the marketing area.
- If all the imported contacts are part of a list, select the appropriate list during the import process to add them directly to it.
