How to Connect Your Google Calendar to PatientBase

Integrating your Google Calendar with PatientBase ensures a streamlined booking experience by avoiding scheduling conflicts. This guide walks you through the process step-by-step, enabling a seamless connection that enhances your and your clients' convenience.


Step 1: Understanding the Benefits

  • Synchronization: When someone books an appointment using your PatientBase widget, the system checks your Google Calendar for availability. Times already blocked off in Google Calendar will not appear as available in PatientBase, preventing double bookings.

Step 2: Getting Started

  1. Navigate to Booking Section: Log in to your PatientBase account and head to the booking section.
  2. Access Operators: Click on 'operators' to manage the bookings. Operators are your practitioners or staff responsible for appointments.

Step 3: Connect to Google

  1. Operator Settings: Choose the operator you wish to set up and scroll to their settings.
  2. Sign In with Google: At the bottom of the settings page, find the 'Sign in with Google' option and click it.
  3. Select Your Google Account: Choose the Google account you wish to link with PatientBase.

Step 4: Approval Process

  • App Approval: If prompted about PatientBase’s approval status with Google, click on 'Advanced' and proceed to 'Go to PatientBase (unsafe)' to continue. This step is only temporary until the app receives full approval from Google.

Step 5: Grant Access

  1. Permissions: Allow PatientBase to view and edit your Google Calendar events. This enables automatic updates to your calendar upon booking.
  2. Continue: After selecting the permissions, click 'Continue' to finalize the integration.

Step 6: Configuration

  1. Verify Connection: You'll be redirected back to the operator section. Verify that your calendar is linked correctly and shows the associated email.
  2. Calendar Settings: Adjust which calendars from your Google account should be checked for availability, ensuring comprehensive scheduling.

Step 7: Testing

  1. Check Availability: Go to your booking schedule and confirm your availability settings (e.g., Monday to Friday from 9 AM to 5 PM).
  2. Embed Booking Widget: Add the booking widget to your website and select the service (e.g., discovery call) to test.
  3. Block Time in Google Calendar: Block off a specific time in your Google Calendar and refresh the PatientBase calendar to ensure the time slot is no longer available for booking.

Step 8: Adjust Time Display (Optional)

  • Adjust the time format and time zone under website settings to match your preferences if needed.
